About the role:
Our client is seeking an Information Management Officer to be responsive to the needs of the organization in the planning, development, processing, promotion and application of record keeping responsibilities and to preserve records for the benefit of the community. Reporting to the Information Managment Operations Lead, you will undertake the day-to-day operations of the Information Management unit in accordance with policies and procedures and be responsible for the creation, storage, and retrieval of physical and electronic records to ensure the accurate, timely and effective management of records and information.
Key Responsibilities:
You will:
- Undertake daily mail processing of incoming correspondence including scanning and registering documents to the appropriate files in the electronic document records management system (EDRMS).
- Accurately action and distribute correspondence to staff in a timely manner and classify and capture information in accordance with recordkeeping requirements.
- Retrieval of records requests and returns to and from storage.
- Prepare, process, and manage files for transfer to offsite secondary storage.
- Creation of hardcopy and electronic files and boxes.
- Capture data in relation to types and volumes of records processed to support statistical reporting.
- Prepare and distribute courier items for delivery to other sites.
- Prepare outgoing mail as per Australia Post requirements.
- Audit physical and electronic records to ensure data integrity.
- Create NARs relating to the management of EDRMS Locations and to ensure the Authority NAR is maintained.
- Maintain confidentiality while auditing physical files and boxes.
- Liaise with staff to ensure all records management enquiries are resolved quickly and courteously and provide support to internal customers in the effective use of the EDRMS.
- Assist the Information Management Operations Lead to maintain procedures relating to team processes as required.
- Undertake duties outlined in the Information Management roster and provide assistance to others when required.
- Participate in meetings and identify opportunities for improvement as they relate to the Information Management service.
Required Skills/Experience:
- Demonstrated experience in a records management or related role.
- Experience using TRIM/RM8/CM9 in a similar role.
- Experience working in a customer focused role dealing with many customer enquiries simultaneously.
- Demonstrated experience in public records classification, and the application of retention and disposal authorities.
- Effective time management skills to prioritise tasks and deliver agreed actions.
- Demonstrated ability to work as part of a team to achieve shared responsibilities and workload support.
- Excellent communication skills and good attention to detail.
